Photos

Photos is a unified gallery for evidence from progress reports, location checkpoints, material movements, safety (K3) and quality evidence, and brand assets. Old inspection evidence can still appear as history. The gallery helps you search, open, download, select many, and create photo reports; new photos are still uploaded from their source flow.

Short answer for clients

Photo Gallery doesn't create new copies of all images. Vasco shows evidence that comes from various transactions and opens private files through temporary links. Deleting a photo in the gallery may delete the report photo row or only detach the photo from the transaction, depending on the source—money and stock values don't change.

Before you start

Have this ready

  • Make sure the user has access to the project and the photo source.
  • Know whether the photo comes from a report, checkpoint, material, K3, or brand asset.
  • Decide the period/project before creating a photo report.
  • Make sure the browser allows new tabs and downloads if you will print.

Done when

  • The photos you're looking for are found by project, date, source, or keyword.
  • The report selection contains only the right evidence.
  • Deletion is done after understanding the impact per source.
  • The team knows that uploads are done on the source transaction, not from the gallery.

Private photo links are temporary

If an old image or download won't open, reload the gallery to get a new signed link.

02

Search, check, and share photo evidence

  1. 1

    Choose a project and dates

Use the project, start date, and end date filters so the results match the report period.

Result: The gallery only shows photos within the selected scope.
To cancel / undo: Choose Reset to go back to all photos.
  2. 2

    Filter by source or keyword

Choose a source chip and search by caption, project name, staff member, or photo type.

Result: Relevant evidence is easier to find.
To cancel / undo: Clear the text and reset the chips; no data changes.
  3. 3

    Open photo details

Click a photo to see its source, project, staff member, time, geolocation, and caption when available.

Result: The photo's context can be verified before sharing.
To cancel / undo: Close the lightbox; the photo stays the same.
  4. 4

    Download evidence

Choose Download. Vasco tries to save the blob and may open a new tab when cross-domain restrictions apply.

Result: A local copy is available.
If something goes wrong: If it fails, reload to refresh the private link and try again.
  5. 5

    Enter select mode

Turn on select mode, then click photos one by one or use Select all filtered. Check the number selected.

Result: The set of photos is ready to become a report.
To cancel / undo: Leave select mode or choose Clear; all temporary selections are released.
  6. 6

    Create photo report

With photos selected, create the report. A new tab shows a print-ready layout; use the browser dialog to print or Save as PDF.

Result: The photo report can be shared as a document.
To cancel / undo: Close the tab or print dialog; the selection and source photos don't change.
  7. 7

Delete only after checking the source

Open the details, match the source, then confirm the delete. Assets/brand must be managed from their source.

Result: The photo is deleted or detached depending on the source type.
To cancel / undo: Choose Cancel on the confirmation. After you confirm, there is no undo.

Don't invent an undo

If the screen doesn't offer an undo, edit, or delete button after a transaction is saved, this documentation does not assume the action can be reversed. Note the reference, stop any follow-up actions, then ask for a correction through the main admin or Vasco support.

Questions and answers

Can I upload photos from the Gallery?

No. Upload photos through the report, checkpoint, material, incident, punch list, or asset settings that is their source. The Inspection menu has been discontinued; old evidence can still appear as history.

Does deleting a material photo delete stock?

No. The photo URL is cleared; the material transaction stays.

What does Select all filtered mean?

All photos that match the filter are selected, including ones not shown yet because of display pagination.

Why won't old links open?

Private photos use temporary links. Reload the page to create a new link.

Is there an undo after delete?

Not in the gallery. Cancel on the confirmation if you're unsure.
