Overview
A project is the main container for work in Project Management. Inside it, managers link the client, location, person in charge, team members, tasks, field reports, documents, costs, materials, and tools so progress and actual costs can be read in the same context.
The Projects menu name doesn't limit Vasco to construction companies. Use one project for each piece of work you need to track—for example a hotel renovation, a building cleaning contract, AC servicing, an installation, an event, or a campaign. If a job has its own team, period, activities, or costs, create it as a separate project.
Before you start
Have this ready
- Set a project naming rule so work is easy to find and isn't created twice.
- Prepare the client name, location, project manager, start-end dates, and contract value or budget if you use them.
- Make sure the staff who will be assigned are already active in People/HR.
- Decide who is allowed to change statuses, move teams, and delete empty projects.
Done when
- A project has a clear identity, period, person in charge, and status.
- The assigned team appears on the right project without losing the old assignment history.
- Managers understand the difference between contract value, actual cost, budget (RAB), and money already received.
- A completed or canceled project is closed with a status, not deleted, once it has history.
Decide the right unit for a project
Create a project for work that needs its own team, period, result, and costs. Avoid creating a project for one small activity that should be a task.
| Need | Create as | Example |
|---|---|---|
| The work has its own client, location, team, period, or costs | New project | AC service Building A · September 2026 |
| A small activity within the same job | Task in the project | Check the 3rd-floor panel |
| Daily progress notes from the field | Daily report | Installation 60% done, rain, two issues |
| Items requested or used by the team | Request/material out | 20 liters of paint for Area B |
| The work is paused for now | Paused status | Waiting for client permission |
| The work will not go ahead | Canceled status | The contract was canceled before mobilization |
How to explain it to a client
“A project is a digital folder for one job. The team, tasks, reports, materials, purchases, tools, and related costs are kept in the same folder so progress and costs don't get scattered.”
Create a new project
- 1
Open Operations → Projects
Choose Add project. Before creating a new one, search for the client name, location, or job to make sure the project doesn't already exist.
Result: The new project form opens without affecting existing projects. To cancel / undo: Choose Cancel or close the form before Save. Data you just typed is not created as a project. - 2
Fill in the project name
Use a name that clearly sets the job apart, for example “Aruna Hotel Lobby Renovation — Phase 2”. The name is required.
Result: The project is easy to find through search and reports. If something goes wrong: If the name is rejected, remove blank spaces at the start/end and make sure the field is not empty. Don't use a generic name like “New project”. - 3
Link the client and location
Choose the right client, then fill in the work location. The text location describes where the work happens; the GPS radius is set separately through the project's location/geofence.
Result: The project can be searched by client or location and is ready to be linked to field controls. To cancel / undo: Leave the client empty if the job is internal. Deleting the location text does not automatically delete a geofence that was saved before; check the project's location settings separately. - 4
Choose the project manager
Choose the person responsible for monitoring the work. Make sure their profile is still active and that they actually handle this job.
Result: The person in charge appears in the project list and filters. If something goes wrong: If the name doesn't appear, check that the staff member is active and has the right access. Don't create a second staff profile just to make them selectable. - 5
Set the starting status
Use Planning if preparation isn't finished, In progress if work has started, or another status only if it reflects the current situation.
Result: The project lands in the right status group from the start. To cancel / undo: The status can be changed through Edit after the project is saved. Changing the status does not delete the work history. - 6
Fill in the value and period
Fill in the contract value/budget if you use it, then the start date and end date in a valid date format. Make sure the end date is not before the start date.
Result: Vasco can show the project's budget and deadline context. If something goes wrong: If a date isn't accepted, pick it with the date picker or use the YYYY-MM-DD format. An empty value is different from zero; use zero only if there really is no value. - 7
Save once and check
Press Save once, wait for the confirmation, then open the details to check the name, client, manager, status, period, and value.
Result: The project is available for team assignments, tasks, reports, costs, materials, documents, and tools. If something goes wrong: If the connection is slow, don't press Save repeatedly. Search for the project by name before trying again so you don't create a duplicate.
Contract value is not cash received
Entering a project value gives commercial context, but it doesn't mean the money has been received. Client payments still follow the documents/invoices and payments that are actually recorded.
Search, filter, sort, and export the list
Use the list view as a workspace, not as a permanent report. An export follows the projects currently visible after the search and filters are applied.
| Control | Use for | What to check |
|---|---|---|
| Search | Project name, client, location, or manager | Clear the search term if a project seems to be missing |
| Status | Active, completed, canceled, or other status groups | Completed/Canceled usually don't appear in the active list |
| Condition | Active, over budget, completed | Over budget depends on the costs already recorded |
| Deadline | Overdue, 7 days, 30 days, or no date | Deadline reads the project's end date |
| Manager/client | Focus on a specific responsibility or customer | Archived profiles can still appear in the history |
| Sort | Newest, deadline, or budget | Sorting does not change project data |
| Export CSV/PDF | Share the list that is currently visible | Check the filters and sensitive data before downloading |
The project isn't gone
If a project isn't visible, clear the search and all filters, then check the Completed/Canceled tab. Changing the status can take a project out of the active view without deleting it.
Assign and move the team
Assign a single member
- 1
Open the project details → Team
Review the members already linked before adding new people. Make sure the person really starts working on this project on the effective date you use.
Result: The list of currently active team members can be verified. - 2
Choose staff
Search for an active staff member, then choose Add/Assign. If the staff member is on another project, Vasco asks you to confirm the move.
Result: The staff member is prepared for assignment to the new project. To cancel / undo: Choose Cancel on the move confirmation if the staff member hasn't actually moved yet. Their previous assignment stays active. - 3
Confirm the move if needed
Continue only after confirming the destination project and the effective date. Vasco updates the active assignment while keeping the previous assignment history.
Result: The staff member appears on the destination project; the old project's history can still be audited. If something goes wrong: If you moved someone by mistake, assign them back to the original project. This creates a new move in the history; it does not delete the event that was already recorded. - 4
Check the operational impact
Make sure the schedule, today's attendance, daily reports, and the staff member's tasks refer to the right project after the move.
Result: New activity goes to the right project. If something goes wrong: Moving a team member does not move money transactions, old reports, or old costs. Correct each source separately if a transaction was recorded on the wrong project.
Move the whole team
- 1
Choose Move team
From the project actions, choose the destination project to move all active members at once.
Result: A summary of the member count and destination is ready to confirm. To cancel / undo: Close the dialog or choose Cancel. No members are moved. - 2
Verify the destination, then confirm
Make sure no members should stay behind. Confirming creates new assignments and closes the previous active assignments.
Result: The whole active team moves, with the assignment history kept.If something goes wrong: If the project has no active members, Vasco doesn't move anything. If some people were moved by mistake, assign them back one by one or move the team back after verifying.
A move doesn't move history
Reports, attendance, expenses, material usage, and transactions already created stay on the original project. Only active assignments going forward change.
Read project details, progress, and costs
Project details summarize work that comes from several modules. Use the buttons to Reports, Gallery, Documents, Finance, Expenses, Staff, and Quality to open the original source before making decisions.
| Figure/card | Meaning | Does not mean |
|---|---|---|
| Contract/budget value | The value recorded in the project's identity | Money has been received |
| Invoiced | The value of related documents/invoices that have been issued | The client has paid |
| Received | Client payments that have actually been recorded | The whole contract is paid off |
| Actual cost | Expenses, purchases, labor, materials used, or rented tools that are linked | All future commitments are covered |
| Budget (RAB) | The cost plan or estimate used for comparison | Cash transactions |
| Remaining budget | Budget (RAB) minus the actual costs that can be read | The available account balance |
| Project cash | Recorded receipts minus actual costs | Final profit or a certain projection |
Costs depend on data quality
Project figures are complete only if expenses, payroll, materials, purchases, tool rentals, invoices, and payments are linked to the right project. Always open the source before concluding that a project is making a profit or a loss.
Checks before a progress meeting
- The latest progress is backed by tasks or field reports, not just the project status.
- Photos and documents are linked to the right project.
- Actual costs have a source and a date that can be traced.
- Materials out have had returns subtracted, so what is counted is net usage.
- Active tool rentals still add to running costs according to the days of use.
- Client receipts are kept separate from the value that has only been invoiced.
Use status as the project lifecycle
| Status | Use when | How to cancel/reopen |
|---|---|---|
| Planning | The work hasn't started and the data is still being prepared | Change to In progress through Edit when it starts |
| In progress | Field activity is under way | Change to Paused, Almost done, Completed, or Canceled as appropriate |
| Almost done | The main work is done but the handover/punch list isn't finished | Move back to In progress if the scope grows |
| Paused | The work is stopped for now and will resume | Change back to In progress; don't create a new project |
| Completed | The work and the operational admin are closed | Edit the status back to In progress if it was closed by mistake |
| Canceled | The work won't go ahead or was stopped permanently | Edit the status back to Planning/In progress if it resumes |
Completed and Canceled can be reversed
A status closes the project out of the active list but doesn't delete its history. If it's wrong, find the project in the status filter, open Edit, then choose the right active status.
Edit, duplicate, and bulk actions
- 1
Edit the project identity
Open the project, then choose Edit. Change only data that is wrong or has actually changed, then Save.
Result: The latest identity is used across the project views. To cancel / undo: Choose Cancel before Save to keep the old values. If something goes wrong: Changing the client, manager, or dates does not move transactions already recorded. Check old reports and documents separately. - 2
Duplicate as a starting point
Choose Duplicate if the new job has a similar structure. Vasco creates a “(Copy)” with Planning status and copies the identity and part of the planning structure, such as milestones/Gantt, when available.
Result: A separate new project is created without copying the old project's transaction history. To cancel / undo: You can cancel the confirmation before duplicating. If a copy was already created, check whether it's still empty and delete it; if it already has history, change its status to Canceled. If something goes wrong: Don't assume all data was copied. Open the copy and verify the dates, value, team, milestones, and structure before using it. - 3
Use bulk actions with care
Select several projects to change the status, change the client/project manager, or delete empty projects. Check that the selected count matches before you confirm.
Result: The action is applied to the projects that qualify. To cancel / undo: Cancel in the dialog before confirming. After a status/person-in-charge change, select them again and change it back if it was wrong. If something goes wrong: A bulk delete can partly succeed because projects with history are rejected. Read the result for each project and don't repeat the whole selection without checking.
Close, delete, and restore safely
| Situation | The right action | Can it be restored? |
|---|---|---|
| A new form that hasn't been saved | Cancel/close the form | Not needed; the project hasn't been created |
| The project is still in use but the data is wrong | Edit the data or status | Yes, change it back |
| The work is finished | Change the status to Completed | Yes, change to In progress |
| The work is canceled | Change the status to Canceled | Yes, change to Planning/In progress |
| A duplicate project that is truly empty | Delete after confirming | No; it's a permanent deletion |
| The project has attendance, expenses, payroll, or related history | Keep the project and use Completed/Canceled | The history is safe; a hard delete would be rejected |
- 1
Check the history before Delete
Open the details and check the team, reports, attendance, expenses, payroll, materials, documents, and other transactions. Delete only empty test/duplicate projects.
Result: You can judge the risk of losing operational context before taking a permanent action. - 2
Read the confirmation and the target
Make sure the project name in the dialog is correct. If the system says the project has history, stop and use the Canceled or Completed status.
Result: Projects with history are kept; only projects with no dependencies can be deleted. To cancel / undo: Choose Cancel or close the dialog. Nothing changes. - 3
Confirm only for empty data
Press Delete once. When it succeeds, reload and make sure only the target is gone.
Result: The empty project is permanently deleted. If something goes wrong: A hard delete can't be undone. If an important project is deleted, don't create replacement transactions at random; note the time/name and contact the main admin or Vasco support right away.
Status is the safe way to close a project
Don't delete a project to tidy the list if it has ever been used. The Completed/Canceled status keeps the evidence, cost links, and team history while taking it out of active work.
Troubleshooting Projects
| Symptom | Common cause | Action |
|---|---|---|
| Project not found | A status/client/manager/deadline filter or a search is still active | Clear the filters, search a short name, then check Completed and Canceled |
| Staff member can't be selected | The profile isn't active yet or is linked to another project | Check the staff profile; confirm the move if it's correct |
| GPS attendance isn't active | The text location is filled in but the geofence isn't set | Open the project's location settings and save the point and radius |
| Costs look too small | A transaction isn't linked to the project, or the material price is empty | Open the cost source and complete the project/price from the source |
| Costs look doubled | A transaction was recorded in two flows, or a button was submitted twice | Trace the source and reference; correct/delete only transactions that are truly duplicates |
| Duplicate didn't copy all the data | Duplicate copies only the supported structure, not the history | Complete the copy as a new project and don't copy old transactions |
| Can't delete a project | There is already related history | Use the Completed/Canceled status to keep the audit trail |
| Wrong team move | The destination or project choice was wrong | Assign back to the original project and check the activity after the move date |
Questions and answers
Are Projects only for construction businesses?
No. A project is a container for work in any business: renovation, cleaning, service, installation, events, production, or campaigns. Use it when the work needs its own team, period, progress, and costs.
What's the difference between a project and a task?
A project is the full container of work; a task is a single activity that must be completed within a project. “AC service Building A” can be a project, while “Check the 3rd-floor unit” is a task.
Does changing the project manager move all the history?
No. The change updates the person in charge of the project; it doesn't rewrite the history of old transactions, reports, or activities.
How do I cancel a project that is already running?
Change the status to Canceled. The history stays available. If the cancellation was a mistake, edit it back to Planning or In progress.
Can a Completed project be reopened?
Yes. Find it through the Completed filter, open Edit, then change the status to In progress. Check the schedule, team, deadline, and costs before work resumes.
What is copied when I Duplicate?
Vasco creates a new project with Planning status and copies the supported data/structure as a starting point. Transactions, payments, reports, evidence, and the old project's history do not become transactions of the new project.
Why can't a project be deleted?
A hard delete is rejected if there is history such as attendance, expenses, or payroll. Use Completed/Canceled so the audit and cost links stay intact.
Is the project cash figure the same as final profit?
Not always. Project cash reads recorded receipts minus the actual costs that can be read. Commitments not yet recorded, empty material prices, unpaid invoices, or transactions without a project can leave the figure incomplete.
