Set up your company
Company settings are the basic identity across all of Vasco. Complete the contact, tax, bank account, signatory, logo, signature, and stamp details before creating your first document or payment.
Company data is filled in and verified by the client's admin with Vasco's guidance. The company name is managed through the Vasco team; other data can be updated by an Admin. Text changes only take effect after Save, while image uploads may be saved as soon as the upload succeeds.
Before you start
Have this ready
- Sign in as the Owner or an Admin with Settings access.
- Prepare the official address, phone number, email, NPWP if you have one, and bank account details.
- Prepare the correct logo, signature, and stamp files; avoid blurry photos or unnecessary backgrounds.
Done when
- The company identity is ready to use in Vasco.
- The bank account and signatory have been checked for payments and documents.
- The owner knows how to change the profile, change the password, and export data.
Data to prepare
| Group | Fields | Notes |
|---|---|---|
| Identity | Company name, address, phone, email, website, Instagram | The company name is shown as read-only and changes go through the Vasco team |
| Tax and documents | NPWP, signatory name, default terms | Fill in according to official documents and company policy |
| Bank account | Bank name, account holder name, account number | Check twice; don't copy numbers from a chat without verifying |
| Visual assets | Logo, signature, stamp | The logo may be public; the signature and stamp are stored as private assets |
| Owner profile | Full name, phone number, password | An active phone number makes coordination and operational recovery easier |
Complete the company profile
- 1
Open Settings
In Vasco web, open the Settings menu, then the profile or company information section.
Result: The company form shows the data already saved. If something goes wrong: If you can't see the menu, your account doesn't have Settings permission. Use an Owner account or ask for your access to be adjusted. - 2
Check the company name
Make sure the name shown matches the company you are managing.
Result: You avoid changing the wrong tenant/company.If something goes wrong: The company name can't be typed from this screen. Contact the Vasco team if the legal name or display name needs to change. - 3
Fill in contact and address
Enter the full address, phone, email, website, and Instagram that the company actually uses. Leave optional fields blank if they haven't been verified.
Result: Company contacts are consistent and contain no guessed data.To cancel / undo: Before Save, choose again or close the page. Unsaved text changes are not applied. - 4
Fill in tax, signatory, and bank account
Enter the NPWP if used, the name of the authorized signatory, then the bank name, account name, and account number.
Result: The administrative information is ready for the flows that need it.If something goes wrong: If the bank account changes, save the new data only after the change is approved internally. Vasco does not automatically verify account ownership from this screen. - 5
Save and re-verify
Press Save, wait for the success confirmation, then reload the page and check the important data again.
Result: Text changes are saved. If something goes wrong: If a save failed message appears, don't retry over and over. Copy the unsaved data, check your connection and access rights, then try once more.
Upload the logo, signature, and stamp
Image assets are different from text fields: a successful upload may be saved right away. Because of this, choosing Cancel on the form after an upload doesn't always restore the previous image.
- 1
Make sure the file is final
Open the file and check orientation, transparency, sharpness, and whether the signature or stamp really belongs to the authorized party.
Result: The risk of uploading the wrong asset is reduced. - 2
Upload one at a time
Choose the right asset, wait for the indicator to finish, then check the preview before moving to the next asset.
Result: You can tell right away which asset failed. To cancel / undo: If the file picker is still open, choose Cancel. If the upload already succeeded, upload the correct replacement file; just closing the page may not undo the upload. - 3
Verify from the final view
Reload the page and make sure the logo, signature, and stamp shown are the latest versions.
Result: The saved assets are confirmed.
Treat the signature and stamp as sensitive data
Don't upload samples, unauthorized personal signatures, or files from unverified group chats. Limit Settings access to the people who really need it.
Update the Admin profile and password
- Use your full name so the team can easily recognize the action trail.
- Use the active phone number of the person who owns the account.
- Each Admin uses their own account; don't share one password.
- Use a unique password that isn't used on other services.
- After changing the password, store it in the company's official password manager.
Forgot password
On the Admin sign-in screen, use Forgot password to request a recovery link by email. Check your spam folder and make sure the email address is the same as your Vasco account.
Export company data
Settings lets you export datasets to CSV. Use exports for reconciliation, periodic archiving, or internal analysis—not as a way to edit lots of data and import it back, unless an official flow is provided.
- 1
Choose a dataset
Open the data export section and choose the type of data you actually need.
Result: The file's scope fits the purpose and doesn't share excess data. - 2
Download and store securely
Download the CSV, then move it to company storage with limited access.
Result: The data can be used without spreading to personal devices or chats. To cancel / undo: Before downloading, close the dialog. Once the file is downloaded, Vasco can't take back a copy from your device; securely delete the local file if you downloaded the wrong one.
If settings don't save
| Symptom | Check | Action |
|---|---|---|
| The Save button isn't available | Settings permission and required fields | Sign in with the right account and complete the required fields |
| The company name can't be typed | This is read-only by design | Ask the Vasco team to make the change |
| The old image still shows | Cache/preview or the upload isn't finished | Wait for it to finish, reload, then upload a replacement if it's still wrong |
| Data goes back to the old value | The Save confirmation may not have appeared | Try once more with a stable connection; don't close the page while saving |
| The export doesn't download | Browser pop-up/download and dataset permissions | Allow downloads, try a smaller dataset, then contact support if it still fails |
Questions and answers
Why can't the company name be changed?
The company name is managed together with the Vasco team so the tenant identity doesn't change without verification. Contact the Vasco team to change the legal or display name.
I pressed Cancel but the logo changed. Why?
An image asset upload may be saved as soon as it succeeds, separate from the Save button for text fields. Upload the correct file again and verify after reloading.
Is the account number verified automatically?
Don't rely on it. Verify the bank name, holder name, and account number internally before using them for payments.
Is it safe to share the CSV over chat?
Not recommended. A CSV can contain personal or financial data. Keep it in a company location with access control and share it only with authorized people.
