Transfers
A transfer moves up to 1,000 item types between warehouses in one atomic transaction. You choose the source and destination, search for or scan available stock, build a cart, enter quantities and a note, and then Vasco moves all lines at once, or cancels everything if one line is invalid.
A transfer on this screen is completed immediately; it is not created as a draft shipment. The Move button deducts from the source warehouse and adds to the destination warehouse in a single database transaction. If one item falls short, no balance is left half moved. Because a completed result has no undo on screen, check the route and quantities before confirming.
Before you start
Have this ready
- Make sure at least two active warehouses are available.
- Verify available stock, not just physical, in the source warehouse.
- Prepare the barcode/SKU and quantity of each item.
- Decide on the person in charge, vehicle, reason, or reference for the note.
Done when
- Source and destination warehouses are different and correct.
- Every quantity is >0 and does not exceed available stock.
- All lines succeed together or nothing changes.
- A correction transfer is created as a new transaction with a clear reference when needed.
Understand the cart and atomic transactions
| Part | Behavior | Limit |
|---|---|---|
| Source warehouse | Determines which stock can be searched | Changing the source empties the cart |
| Destination warehouse | Receives all items | Must be different from the source |
| Available stock | Physical minus reserved | Transfer quantity can't exceed this |
| Cart | One line per material | The same item is not added twice |
| Value | Quantity × average cost | For context, not a payment |
| Move | Calls the transfer with complete=true | Completes immediately; there is no send/receive stage on screen |
| Atomic | All lines succeed together | One failure cancels the whole transaction |
Move many items
- 1
Choose Create transfer
Start a new form; don't use an old transfer as a template without checking balances.
Result: An empty cart opens. To cancel / undo: Close/Cancel; no balance changes. - 2
Choose the source and destination warehouses
Choose the source first, then a different destination. Changing the source removes the items already chosen so balances don't get mixed up.
Result: Search reads available stock from the right location. To cancel / undo: Change the selection before adding items, or Cancel. - 3
Search or scan items
Use a barcode, SKU, or name. Click a result to add one material to the cart.
Result: A line appears with an initial quantity of at most one or the available balance. If something goes wrong: If there are no results, the material may be unavailable or reserved. - 4
Enter the quantity for each line
Enter a number >0 and <= available. Click the trash icon to remove an item from the cart.
Result: The transfer quantity and value are calculated. To cancel / undo: Remove the line or Cancel; no stock has moved yet. - 5
Fill in the note
Record the vehicle, person in charge, reason, or physical reference for the audit.
Result: The transfer history has context. To cancel / undo: Clear it before confirming if it's not needed. - 6
Confirm Move
Match the number of item types, route, quantities, and value; press once and wait for the result.
Result: All stock moves in a single transaction with the status Completed. To cancel / undo: Once it succeeds there is no undo. Create a reverse transfer only after verifying the items really need to go back.
Transfer history statuses
| Status | Meaning | Notes for this screen |
|---|---|---|
| Draft | Transfer not yet sent in other flows/old history | This bulk form does not create drafts |
| In transit | Stock is moving through a two-stage flow | Not produced by p_complete=true on this screen |
| Completed | Source and destination balances are updated | Normal result of the Move button |
| Canceled | Transfer not carried through | May appear as history; there is no cancel button in the list |
Undo, correct, or delete safely
| Situation | The right action | What still happens |
|---|---|---|
| Form is still open | Choose Cancel | No balance changes |
| One line is invalid on submit | Fix the quantity and try again | The whole transaction fails; no half-moved balances |
| Transfer completed to the wrong warehouse | Verify physically, then create a reverse transfer with a reference note | Both histories stay visible |
| Wrong quantity but the items stay at the destination | Create a reverse transfer only for the difference | Don't move the whole quantity if only part is wrong |
| Completed history | There is no delete/void button | Keep it for the audit |
Don't invent an undo
If the screen doesn't offer an undo, edit, or delete button after a transaction is saved, this documentation does not assume the action can be reversed. Note the reference, stop any follow-up actions, then ask for a correction through the main admin or Vasco support.
Troubleshooting
| Symptom | Possible causes | What to do |
|---|---|---|
| Needs at least two warehouses | Fewer than two active locations | Add/activate a destination warehouse |
| Item not found | No available stock, or a search filter is on | Check Warehouse and reservations |
| Quantity rejected | <=0, not a number, or exceeds available | Enter a valid value according to the message |
| Transfer failed | One of the balances changed since the form was opened | Reload the stock and build the cart again |
| Draft/transit status can't be processed | Created from another flow/older version | Use the source flow or ask an admin; this page only creates immediately completed transfers |
Questions and answers
Does a transfer go through the In transit status?
Not on this bulk form. The transfer is created with p_complete=true and completes immediately and atomically.
What happens if one item falls short?
The whole transfer is canceled; no other line moves.
Can the same item be added twice?
No. Change the quantity on the existing line.
How do I undo a completed transfer?
There is no undo button. After a physical check, create a reverse transfer for the correct quantity and write a reference.
Does the transfer value affect payments?
No. The value uses average cost for stock context.
