Schedule
Schedule shows project tasks as a Gantt chart up to 60 weeks, complete with phases, status, progress, exact dates, dependencies, baseline, milestones, critical path, and evidence. A date change can shift follow-on tasks, so every edit must be checked before you save.
Vasco's Gantt combines plan and execution. The project date is the starting point, tasks can use relative weeks or exact dates, dependencies show the order, the baseline freezes the comparison plan, and progress shows what's been achieved—but progress does not change automatically just because a daily report is linked.
Before you start
Have this ready
- Choose the right project and make sure the project start date is valid.
- Break the work into measurable tasks.
- Set the dependency order without creating loops.
- Agree on who may replace the baseline and delete tasks/milestones.
Done when
- All tasks have a phase, time range, status, and sensible progress.
- Dependencies don't form a cycle and the critical path is readable.
- The baseline is saved only after the plan is approved.
- Milestones, exports, and the print view reflect the filters you want.
Understand the Schedule components
| Component | How to read it | Key notes |
|---|---|---|
| Start week & duration | Week 0 is shown as the first week; duration is 1–60 weeks | Exact dates can override the relative position |
| Phase | Preparation, Structure, Architecture, MEP, or Handover | Phases help with filtering; they don't create dependencies automatically |
| Status & progress | Not started, In progress, Done, Blocked; progress 0–100% | Status can follow progress or be chosen when editing |
| Dependencies | Predecessor tasks that must be taken into account | Cycles are rejected; chosen only when editing a task |
| Baseline | A copy of the date/progress plan at the time it's saved | The previous baseline is overwritten; version history is not kept |
| Critical path | The longest chain of dependencies | Not a guarantee that every field risk is included |
| Milestone | A marker for an important result with a date and done status | Not the same as a task and doesn't store a duration |
Baseline overwrites the old comparison
Save a baseline only at a clear approval point. The confirmation offers no undo or history of the previous baseline; a new comparison can only be made by saving the baseline again.
Build and maintain the project schedule
- 1
Choose a project
Search and choose a project, then check the start date that anchors the weeks.
Result: The Gantt shows that project's tasks and milestones. To cancel / undo: Switch projects or clear the filter; no data changes. If something goes wrong: If the project doesn't appear, check the project's status/access and the spelling of your search. - 2
Add a task
Enter the required name, phase, priority/status, start week 0–59, duration 1–60, progress 0–100, or exact start-end dates if needed.
Result: The task appears in the list and as a Gantt bar.To cancel / undo: Choose Cancel before Save. If it's already saved, use Edit, or delete it only if it's truly not needed. - 3
Add dependencies
Edit the task, then choose one or more predecessors. Make sure the work order is real and avoid circular links.
Result: The critical path and task order take dependencies into account. To cancel / undo: Clear the dependency selection before Save, or edit again to remove the dependency after it's saved. - 4
Shift dates deliberately
When changing start and end dates, turn on Automatically shift follow-on tasks only if all successors really should shift too.
Result: The task's dates change and, if chosen, successors are adjusted. To cancel / undo: Cancel the dialog before Save. After it's saved, edit the dates again; there is no single button to roll back the whole chain. - 5
Update progress
Drag the progress control or edit the number after verifying in the field. Status will reflect the progress according to the screen's rules.
Result: The Gantt and statistics use the latest progress. To cancel / undo: If saving fails, the slider returns to the old value. If a wrong value was saved successfully, set it to the correct number again. - 6
Link reports and photos
Choose the related daily report as provenance and upload one photo/evidence if needed. Uploading a new photo replaces the previous draft photo.
Result: The task can be traced back to the related report and evidence. To cancel / undo: Use the X button to clear the photo from the draft. A file already uploaded to storage can remain even if the form is canceled; don't rely on Cancel to delete the physical file. - 7
Add a milestone
Enter the required name and an optional due date, then Save. Mark it done only after the result has actually been achieved.
Result: The milestone appears on the timeline and its done status can be toggled. To cancel / undo: Cancel before Save. The toggle reverts if the server fails; if a wrong one succeeds, toggle it again. - 8
Save the baseline
After the plan is approved, choose Save baseline and read the confirmation that the old comparison will be overwritten.
Result: The current dates and progress become the variance comparison. To cancel / undo: Cancel at the confirmation. Once saved there is no undo; a new baseline can replace a wrong one. - 9
Filter, export, or print
Use phase, status including late, and search, then export CSV or open the print view.
Result: The CSV uses the tasks from the active filter; print opens in a new tab.To cancel / undo: Clear the filters to go back to all tasks. Closing the print tab doesn't change the schedule.
Task and milestone statuses
| Status | Use when | How to reverse |
|---|---|---|
| Not started | The work hasn't begun | Raise the progress or edit the status |
| In progress | Progress between start and finish | Change progress/status after verification |
| Completed | The result has been accepted | Lower the progress or change the status if it's wrong |
| Blocked | An obstacle is stopping the task | Resolve the obstacle, then change the status |
| Late | The deadline has passed and the task isn't done | Update the actuals/deadline with a reason; don't just hide the filter |
| Milestone done | The result marker has been achieved | Toggle again if it's wrong |
Undo, correct, or delete safely
| Situation | The right action | What still happens |
|---|---|---|
| Task/milestone form is open | Choose Cancel | No new row |
| Wrong date and cascade not yet saved | Turn off Shift follow-on tasks or Cancel | Successors stay on their old dates |
| Wrong date after the cascade | Edit every affected date again | There is no batch rollback |
| Wrong baseline | Save a new baseline after the plan is corrected | The old baseline can't be restored |
| Task or milestone deleted | No undo available | Deletion is permanent; re-create only from valid evidence |
Don't invent an undo
If the screen doesn't offer an undo, edit, or delete button after a transaction is saved, this documentation does not assume the action can be reversed. Note the reference, stop any follow-up actions, then ask for a correction through the main admin or Vasco support.
Troubleshooting
| Symptom | Possible causes | What to do |
|---|---|---|
| Gantt bar is in the wrong week | The exact date or the project start date differs from what you assumed | Check the project dates and the task start/end dates |
| Dependency can't be saved | It forms a cycle or picks an invalid task | Remove the circular link and rearrange the order |
| Progress reverts on its own | The inline save failed | Check your connection, reload, then save once |
| Odd critical path | Dependencies are incomplete or durations are unrealistic | Check each task's predecessors and duration |
| Photo disappeared from the draft | The file was replaced/cleared or the signed URL expired | Choose the file again and save; reload for a new URL |
Questions and answers
What is the difference between relative weeks and exact dates?
Relative weeks are counted from the project start date. Exact dates set explicit calendar limits and are used for task position when available.
Does a daily report automatically change progress?
No. The report link is a source of evidence; progress still has to be updated by an authorized person.
Can an old baseline be restored?
Not from the current screen. Saving a baseline overwrites the old comparison.
What happens if a task is deleted?
Deletion is permanent and has no undo. Check dependencies, reports, and evidence before you confirm.
Why doesn't the CSV contain all tasks?
The export follows the active filter and search. Clear the filters to export all of the project's tasks.
